Terms of Service

1.0Acceptance of Terms

By accessing or using XiPillar ("the Service"), you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any of these terms, you are prohibited from using this Service. Access is granted solely to authorized personnel of Texas Cornerstone Services ("TCS") and affiliated organizations.

2.0Authorized Use

XiPillar is a case management platform intended exclusively for licensed counselors, caseworkers, and authorized staff. You agree to use the Service only for lawful professional purposes, maintain the confidentiality of your login credentials, and report any unauthorized access or security concerns immediately.

3.0Protected Health Information (PHI)

The Service handles Protected Health Information as defined under HIPAA (45 CFR Parts 160 & 164). You acknowledge your obligation to handle all PHI in accordance with applicable federal and state law, including but not limited to HIPAA, the HITECH Act, and Texas Health & Safety Code. Unauthorized access, use, or disclosure of PHI is strictly prohibited.

4.0DFPS Confidentiality

Client records and case information may be subject to DFPS confidentiality requirements under Texas Family Code §261.201. You agree not to disclose any such information except as permitted by law and organizational policy.

5.0Account Responsibilities

You are responsible for all activity occurring under your account. The Service automatically logs out sessions after 15 minutes of inactivity as required by HIPAA §164.312(a)(2)(iii). You must not attempt to circumvent this or any other security measure.

6.0Audit & Monitoring

All access and modifications to client records are logged for compliance purposes per HIPAA §164.312(b). These logs may be reviewed by authorized administrators and may be used in investigations of suspected unauthorized access or misuse.

7.0Prohibited Activities

  • Accessing records of clients not assigned to you without authorization
  • Exporting, copying, or transmitting client data outside approved channels
  • Attempting to bypass authentication or security controls
  • Using the Service for any purpose unrelated to your professional duties

8.0Termination

Access may be suspended or terminated immediately upon separation from the organization, violation of these terms, or at the discretion of system administrators. Upon termination, your obligation to maintain the confidentiality of any information accessed continues indefinitely.

9.0Disclaimer

The Service is provided "as is" without warranty of any kind. XiPillar and Texas Cornerstone Services shall not be liable for any damages arising from use of or inability to use the Service.
